Welcome to Phoenix ("the Bot"). Our primary service is to provide automated, temporary voice channel management for Discord servers. This Privacy Policy explains how we handle data specifically related to the creation, management, and deletion of temporary voice channels. We are committed to a "Privacy by Design" approach, ensuring minimal data collection.
1. Data We Collect (Technical Necessity)
To function as a Temporary Voice Channel manager, Phoenix requires access to specific real-time data points. We do not collect or store any information that is not essential for this automation.
Voice State Data
We monitor when a user joins or leaves a specific "Join to Create" channel. This is used solely to trigger the creation of a new temporary channel or to delete an empty one.
User IDs
We identify the User ID of the person who triggers the channel creation to assign them "Channel Ownership" (permissions to manage their temporary room).
Guild & Channel Data
We store which server configurations are active (e.g., category for temp channels) and track currently active temporary channels.
2. What We DO NOT Collect (Zero Audio Retention)
As a voice utility bot, we want to be 100% transparent about what we do not do:
- No Audio Recording: Phoenix does not have the technical capability to record, listen to, or transmit voice audio. Your conversations are private and remain within Discord's encrypted infrastructure.
- No Message Logging: We do not read or store text messages from the temporary channels' text-chat features unless a specific moderation command is invoked.
- No Personal Identity Data: We do not collect names, emails, or physical locations.
3. How We Use the Data
The ephemeral data collected is used strictly for:
- Automation: Automatically creating a voice channel when a user joins the "Generator" channel.
- Permission Management: Granting the "Creator" of the temporary channel the ability to rename, limit, or lock their room.
- Cleanup: Automatically deleting the temporary channel once the last user has disconnected to keep your server organized.
4. Data Retention & Ephemeral Storage
- Ephemeral Data: Most data processed by Phoenix is "In-Memory." This means once a temporary voice channel is deleted, the specific data associated with that session (who created it, when it was created) is purged from our active tracking.
- Persistent Data: Only the configuration settings (like the ID of your 'Join to Create' channel) are stored in our secure database to ensure the bot works after a reboot.
5. Information Sharing
We have a strict No-Sharing policy.
- Your server configurations and user interactions are never sold, traded, or shared with third-party advertisers or data brokers.
- Data is only disclosed if required by law or to comply with Discord’s Developer Terms of Service.
6. Security Measures
We use industry-standard encryption to protect the connection between Discord and our hosting servers. Access to the bot's database is strictly limited to the lead developer of Phoenix.
7. User Control & Rights
- Data Deletion: If you wish to wipe your server's configuration from our database, simply kick the bot from your server. Our system is designed to prune orphaned data periodically.
- Opt-out: By not joining the "Join to Create" channels, users can opt-out of the bot's automated features entirely.
